VRLY Ventures LLC ("Company," "we," "us," or "our"), operating as forquotez, is committed to protecting your privacy and personal information. This Privacy Policy describes how we collect, use, disclose, store, and protect information when you access or use our interactive quote builder platform and related services (collectively, the "Services").

By accessing or using our Services, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you do not agree with this Privacy Policy, please do not access or use our Services.

2. Information We Collect

2.1 Information You Provide

We collect information that you voluntarily provide when using our Services, including:

• Account Information: Name, email address, password, job title, company name, phone number, and profile photograph.
• Organization Information: Business name, industry, company size, website, address, and logo.
• Quote Content: Pricing configurations, quote forms, line items, client information, and related materials.
• Signature Data: Electronic signatures (drawn or typed), signed documents, and audit trail data.
• CRM Data: Contacts, companies, leads, deals, notes, activities, and related customer relationship information.
• Communication Data: Messages, support requests, feedback, and any other communications with us.
• Payment Information: Billing details processed through our third-party payment processors.

2.2 Information Collected Automatically

When you use our Services, we automatically collect certain information, including:

• Device Information: Device type, operating system, browser type, unique device identifiers, and mobile network information.
• Log Data: IP address, access times, pages viewed, referring URLs, and actions taken within the Services.
• Usage Data: Features used, content viewed, quote interactions, and engagement metrics.
• Location Data: General geographic location based on IP address.
• Cookies and Similar Technologies: Information collected through cookies, web beacons, pixels, and similar tracking technologies.

2.3 Information from Third Parties

We may receive information about you from third parties, including:

• Social media platforms when you connect your accounts

• Publicly available sources
• Other users who may provide your information as a contact or prospect

3. How We Use Your Information

We use the information we collect for various purposes, including to:

• Provide, maintain, operate, and improve our Services
• Create and manage your account and authentication
• Process transactions and send related information
• Facilitate quote creation, sharing, and e-signature workflows
• Send administrative messages, updates, security alerts, and support communications
• Respond to your comments, questions, and requests
• Provide customer service and technical support
• Monitor and analyze trends, usage, and activities
• Detect, investigate, and prevent fraudulent transactions and other illegal activities
• Protect the rights, property, and safety of Company, our users, and others
• Personalize and improve your experience
• Send promotional communications (with your consent where required)
• Comply with legal obligations and enforce our agreements

4. How We Share Your Information

4.1 With Your Consent

We share information when you direct us to do so or provide explicit consent.

4.2 With Quote Recipients

Quote information you share via public links or deal rooms may be viewed by prospects and other users according to your sharing settings and the platform's intended functionality.

4.3 With Service Providers

We share information with third-party vendors, consultants, and service providers who perform services on our behalf, including hosting, analytics, payment processing, email delivery, and customer support.

4.4 For Legal Reasons

We may disclose information if required by law, regulation, legal process, or governmental request, or when we believe disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

4.5 Business Transfers

We may share or transfer information in connection with, or during negotiations of, any merger, sale of company assets, financing, acquisition, dissolution, or similar transaction or proceeding.

4.6 Aggregated or De-identified Data

We may share aggregated or de-identified information that cannot reasonably be used to identify you.

5. Data Retention

We retain your information only for as long as we need it to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. We apply the following concrete retention rules:

• Unverified registrations: If you start to create an account but never confirm your email address, your record is automatically deleted within 24 hours. The trial slot for your domain is not consumed.
• Active accounts: Your account data is retained for the life of your subscription or trial.
• Expired trial accounts: If a trial expires and the account is never reactivated, all account data is automatically purged 90 days after the trial end date.
• Lapsed paid accounts: If a paid subscription becomes inactive and the account is not reactivated, all account data is automatically purged 90 days after the suspension date.
• Signed agreements and audit certificates: Documents that have been e-signed through the platform, together with their audit trails and certificate hashes, are retained for seven (7) years from the date of signing. This retention is grounded in the legal-evidence purpose of an e-signed agreement and applies even after an account is closed.
• Audit logs: Security and account-activity audit logs are retained for the life of the account and are deleted along with the account during the purges above.
• Backups: Encrypted database backups may temporarily contain copies of your data for up to 30 days after deletion, after which the backup itself is rotated out.

When you ask us to delete your account ahead of these automatic schedules (see Section 7), we honor the request within the applicable legal timeframe, subject to the same retention exceptions above.

6. Data Security

We implement and maintain reasonable administrative, technical, and physical security measures designed to protect your information from unauthorized access, use, alteration, and disclosure. These measures include encryption, access controls, secure data transmission protocols, and regular security assessments.

However, no method of transmission over the Internet or electronic storage is completely secure. While we strive to protect your personal information, we cannot guarantee its absolute security. You are responsible for maintaining the confidentiality of your account credentials.

7. Your Rights and Choices

Depending on where you live, you may have the following rights over the personal information we hold about you. forquotez honors these rights for all users regardless of jurisdiction.

• Access: Request a copy of the personal information we hold about you, including what we collected and how we use it.
• Correction: Request that we correct inaccurate or incomplete information.
• Deletion: Request that we delete your personal information, subject to the retention exceptions described in Section 5.
• Portability: Request a copy of your data in a structured, commonly used, machine-readable format.
• Opt-Out of Marketing: Unsubscribe from marketing or promotional email at any time using the unsubscribe link in the footer of any such email. Transactional emails (signature requests, quote notifications, billing receipts) cannot be opted out of while your account is active.
• Withdraw Consent: Where our processing is based on your consent, withdraw that consent at any time.
• Object to Processing: Object to our processing of your personal information in certain circumstances (GDPR Article 21).
• Non-Discrimination: Exercise any of these rights without forquotez retaliating against you (CCPA right).

7.1 How to make a request

Send an email to compliance@forquotez.com with the following information so we can verify your identity and locate the right records:

• The email address associated with your forquotez account (or the deal room / signed quote, if you are a counterparty rather than an account holder).
• The specific right you are exercising (for example, "request a copy of my data" or "delete my account").
• Enough context for us to confirm you are the data subject. We will respond and may ask you to confirm your identity via the email address on file before acting on a deletion or export request.

We respond to verifiable requests within 30 days for residents of the EU, UK, and other GDPR-aligned jurisdictions, and within 45 days for residents of California and other US states with similar laws. If we need additional time (for example, to handle a complex request), we will let you know inside that window and explain why.

7.2 Who is responsible for your data

The party responsible for honoring your request depends on how your data ended up on forquotez:

• If you have a forquotez account (admin, manager, or rep at a tenant organization), forquotez is the controller of your account data and will respond to your request directly.
• If you signed an electronic agreement or received a quote through forquotez but do not have your own account, forquotez is the controller of the signed-document audit trail and your authentication data. Please contact us directly.
• If you appear as a contact, lead, or prospect inside a tenant's CRM, the tenant organization (the forquotez customer who uploaded your information) is the controller of that record. forquotez acts as a processor on their behalf. You should contact the tenant first. If you do not know who the tenant is or cannot reach them, you may contact us and we will help you identify and reach the controller.

7.3 What we cannot delete

Some information must be retained even when you request deletion of your account:

• E-signed agreements and their audit trails, retained for seven (7) years per Section 5. These cannot be deleted on request because doing so would defeat the legal-evidence purpose of an e-signature.
• Records we are required to keep for tax, accounting, anti-fraud, or other legal obligations.
• Information already de-identified or aggregated such that it can no longer reasonably be linked to you.

We will tell you in our response which categories of data, if any, we cannot delete and why.

8. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to collect and track information about your use of our Services. For detailed information about the cookies we use and how to manage them, please see our Cookie Policy.

9. Third-Party Links and Services

Our Services may contain links to third-party websites, applications, or services. We are not responsible for the privacy practices of these third parties. We encourage you to review the privacy policies of any third-party services you access through our platform.

10. Children's Privacy

Our Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child without parental consent, we will take steps to delete that information promptly.

11. International Data Transfers

Your information may be transferred to, stored, and processed in countries other than your country of residence, including the United States. By using our Services, you consent to the transfer of your information to countries that may have different data protection laws than your jurisdiction.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last Updated" date. Your continued use of the Services after any changes constitutes your acceptance of the updated Privacy Policy.
