Integration
HubSpot integration for forquotez
The HubSpot integration makes forquotez the quoting layer on top of your HubSpot CRM. It looks up HubSpot contacts to pre-fill a quote, pushes a deal with line items when the quote is saved, adds notes for quote activity, and attaches the signed PDF to the deal.

What the HubSpot integration does
If your team already keeps contacts and deals in HubSpot, you do not have to move them. You connect your HubSpot account once, and forquotez reads contact details when a rep starts a quote and writes the result back to HubSpot when the quote is saved.
In practice that means three things:
- Less retyping on the call. The rep enters the prospect's email in the quote runner. If HubSpot has a matching contact, the name, company and phone fill in.
- A deal that matches the quote. Saving a quote creates a HubSpot deal, or updates the one already created for that quote, with the amount and every line item.
- Quote activity visible in HubSpot. Views, signatures and declines show up as notes on the deal, and the signed PDF is attached when signing completes.
HubSpot stays the system of record for contacts. forquotez does not create or edit HubSpot contacts.
What syncs
| Data | Direction | When |
|---|---|---|
| Contact name, company and phone | HubSpot to forquotez | When a rep types a prospect email in the runner and your forquotez CRM has no company matching that email domain |
| Deal (name, amount, close date, description) | forquotez to HubSpot | When a quote is saved. Created the first time, updated on later pushes for the same quote |
| Line items | forquotez to HubSpot | With the deal push |
| Contact to deal association | forquotez to HubSpot | With the deal push, if a HubSpot contact already exists for the prospect email |
| Quote activity notes (sent, viewed, signed, declined, expired, voided, limited-time discount expired) | forquotez to HubSpot | When the event happens, for quotes that already have a HubSpot deal |
| Signed PDF | forquotez to HubSpot | When the signed document is compiled. Uploaded to HubSpot Files and linked in a note on the deal |
| HubSpot Quote object and its status | forquotez to HubSpot | With the deal push, only if your HubSpot account supports the Quotes API |
The deal amount is the total contract value when the quote has a contract term. Without a term it is the monthly total plus one-time fees. The deal description carries the public share link, plus the term and TCV, any package discount and any one-time credit. If the quote has an expiration date, it becomes the deal's close date.
What does not sync
- Contacts are not pushed from forquotez to HubSpot.
- Deal stage changes made in HubSpot do not come back to forquotez.
- Activity history, emails and meetings do not sync.
- Custom field mapping is not available.
Setup steps
Connecting uses HubSpot's OAuth screen. An admin in your forquotez organization has to do it.
- In forquotez, go to Settings and open the Integrations tab.
- On the HubSpot card, click Connect HubSpot.
- Review the permissions on HubSpot's authorization page (contacts and companies, deals, line items, quotes where your HubSpot plan supports them, and file upload), then click Grant access.
- Back in forquotez, check that the HubSpot card shows a green Connected badge.
- Test it: open a form in the runner, type the email of a contact that exists in HubSpot and confirm the details fill in. Save the quote and look for the new deal in HubSpot.
To stop syncing, click Disconnect on the same card. Your tokens are removed immediately. Deals, notes and files already in HubSpot are left as they are.
Limits and plan requirements
- forquotez plan: integrations are included on Professional and Enterprise. See pricing.
- HubSpot plan: every HubSpot tier is supported, including Free. The HubSpot Quote object is only created on HubSpot accounts that support the Quotes API.
- Timing: pushes run in a background queue, so a deal usually appears in HubSpot within a minute or two of saving, not instantly.
- Local data comes first: contact lookup only calls HubSpot when your forquotez CRM has no match for the email domain.
- Reconnecting: if you disconnect and reconnect, new quotes create new deals. Deals pushed before the disconnect are no longer linked.
- Lost access: if access is revoked on the HubSpot side, the connection is marked inactive and an admin has to reconnect.
forquotez also has its own built-in CRM, so the HubSpot connection is optional. See all options on the integrations page.

No. HubSpot is treated as the system of record for contacts. forquotez reads contact details to pre-fill a quote and links an existing HubSpot contact to the deal it pushes.
When does a quote show up in HubSpot?
When the quote is saved. The push runs in the background, so the deal and its line items normally appear in HubSpot within a minute or two.
